Regular, Partial and Off-cycle Generation

Regular Generation

This module represents the core function of Magnar payroll where the monthly regular generation payroll generation executed. There are a set of steps to be performed before the generation process:

1. Set of year periods (Period Setup).
2. Set the generation profile (Profile Setup).
3. Yearly Balance Processing (Leave Balance).

Once all the listed steps prepared, we are ready for generation, go to Payroll generation, select the employee type to view the current period start and end dates that are related to the current period mapped to the selected type then press “generate”.

There are some validations conducted before the before the generation:

1. In case there are any employee on off-cycle leave and the rejoining date and planned to return in the generation period the system prompts a notification to rejoin.
2. IN case the yearly leave balance has not been processed, system prevent generation.

Partial Generation

User can filter the employees that need to generate the payroll for based on the following criteria:

1. Department.
2. Project
3. Employee

After selecting the required filter, you can generate the payroll and this process can be performed multiple times until all the employee types has been generated. User cannot post the generation until all employees has been generated.

The same filter criteria should be added to the periodic movements form.

Off-cycle Generation

Off cycle payroll processing refers to processing payments and making corrections to finalized results outside of the normal payroll schedule. Off cycle transactions are typically made to correct prior payments or to make early termination payments that can't wait until the next scheduled on cycle payroll.

The Off-cycle generations is similar to the regular by the interface and user functionality but different in the elements processed and the periods created.

In order to be able to generate Off cycle payroll, an Off-cycle profile should be linked to the employee type to have 2 profiles for each type (Regular Profile and Off cycle profile). User can go to the Off-cycle generation menu click on it to open the same Regular generation form including “Employee type” filter with Execute and Revert Actions.
