Notice Period Setup

Employee notice period is determined based on employee grade and years of experience. A setup form is available for the admin to manage notice periods for different employees’ grades.

To manage notice period, go to Payroll >> End of Service>> Notice Period Setup to open a table where each grade specifies different ranges of period duration.

User can select a grade then specify the notice period duration based on number of working years ranges.

Ex: from 6 years to 99 years -> 30 days noticed period.




Request

Employee can submit resignation request by going to “ESS >> My Request >>Resignation Request” fill the form and submit. The resignation request comprises the following fields:

  1.  Resignation Date: The notice period start date and it is the current date by default.
  2. Stop Date: The amount of notice period days added to the “Resignation Date”. The “Stop Date” changes automatically when “Resignation Date” changes and user has the ability to edit the stop date.

Stop date cannot be greater than notice period date, if notice period is not managed it will be as today’s date.




Approval

Approver that is configured in Resignation request workflow template has to select the termination reason before applying his decision. After approving the employee status will be change according to “Termination reason”




Termination Process

To terminate an employee, go to Payroll>> End of Service >> termination to open the termination form. The form has all the fields mentioned before in the “Resignation request” in addition to the employee and termination reasons.

After selecting an employee to terminate, the notice period date and the stop date fields will be filled automatically based on employee notice period setup, user can edit them but stop date cannot be greater than notice period date.

End of service plugin calculation is based on notice period date and not on stop date.

Employee termination generation Period will be based on employee stop date and not notice period date.




Employee Rejoining

This form is used to rejoin temporary and permanent terminated employees. There are two types of rejoining process.




Employees on Leave (Off-Cycle)

User should go to EOS >> Rejoining process and open the rejoining form. To view employee on leave, user must select the month of rejoining to view all the employees in a table with the ability to select multiple records at a time.

The rejoining date filled by default getting the value from the leave transaction. User can edit the rejoining date in case the employee needs to early rejoin.

This process applied only on off-cycle leave transactions.
